Sharp Insight Ltd, trading as Codesign AI (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal data we collect through codesignai.co.uk, why we collect it, and your rights under UK GDPR.

1. Who we are

We are the data controller for personal data collected through this website and when you book a call with us. Codesign AI is a trading name of Sharp Insight Ltd, which also trades as Sharp Insights.

2. What we collect

Directly from you

  • Your name, email address and anything you tell us when you book a call through our booking page, which HubSpot runs for us.
  • Information you give us by email, on a call or in a coaching session, such as your role, your organisation and the work you want help with.

Automatically

  • Technical data: IP address, browser type, device type and pages visited, collected by our website platform, Squarespace.

3. How we use your data

  • To arrange and hold the calls you book.
  • To reply to your enquiries.
  • To provide the coaching, training or project work you engage us for, and to invoice it.
  • To understand how the website is used and improve it.
  • To comply with our legal obligations.

Our lawful bases under UK GDPR are performance of a contract, legitimate interests, and consent where applicable.

4. Who we share with

We share data only with the service providers (processors) that run our website and bookings. Each is bound to process your data on our instructions and to appropriate security standards.

  • Squarespace (website hosting and analytics)
  • HubSpot (calendar bookings)

We do not sell personal data.

5. International transfers

Some processors are located outside the UK. Where this is the case, we rely on the UK International Data Transfer Addendum and the EU Standard Contractual Clauses to ensure an equivalent level of protection.

6. Data retention

  • Booking details and correspondence: kept for as long as we need them to work with you. If you ask us to delete them, we will do so within 30 days, except where we are legally required to keep them.
  • Invoicing records: kept for as long as tax and accounting law requires, normally six years.

7. Your rights

Under UK GDPR you have the right to access your data, request correction, request deletion, object to processing, data portability, withdraw consent, and complain to the UK Information Commissioner’s Office (ico.org.uk).

8. Security

We use the security measures of the services listed in section 4, including TLS encryption in transit, and limit access to your data to the people who need it. No system is completely secure, but we work hard to minimise risk.

9. Cookies

This website uses essential cookies, and analytics cookies only if you accept them in the cookie banner. Our booking page is run by HubSpot on its own site, which sets its own cookies. Our cookie policy lists them.

10. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when we last revised it.
